This position is remote, candidates may be required on occasion to visit the local office when/if needed. This position is located in our Los Angeles, Palo Alto, San Francisco, San Diego, Chicago, Dallas, or Houston office.  

Minimum Requirements: 

  • High School or GED
  • 2 years’ experience in Docketing
  • Must have a solid understanding and knowledge of US, foreign, and international (WIPO) trademark prosecution and litigation
  • Must have excellent data entry skills 
  • Good communication skills 
  • Must have excellent attention to detail and ability to manage a large volume of data
  • Must be organized and be able to work in a fast-paced environment
  • Ability to track a variety of data sources and ensure important dates and tasks are not overlooked


What will your day look like? 
As an IP Docketing Specialist, you will review USPTO, foreign associate, client and internal correspondence, and trademark files in order to enter and maintain accurate data in the docketing databases. You will also review correspondence and discern pertinent information. You will modify, add, and maintain docket records. You’ll ensure accurate and up-to-date statutory information, deadlines and relevant notes are available for review and action by attorneys and paralegals. You will also reconcile the USPTO deposit account weekly to ensure that fees have been accurately charged and credited to the firm. You will inform accounting of the appropriate client/matter numbers to apply to for accurate billing. 


Additionally, you will generate, review, manipulate, and deliver portfolio and deadline reports for attorneys, paralegals, and clients. You’ll prepare customized and ad-hoc reports on a regular basis. You will maintain the consolidated watch service accounts with Corsearch and Thomson, including the initial review and distribution of watch notices to attorneys, paralegals, case assistants, and clients. You will also draft correspondence to clients and foreign associates regarding trademark portfolios, publication, registration, allowance, searches, renewals, transfers of responsibility, etc. 


In this role, you will handle other non-billable tasks, as instructed, including filing assignments and other documents with USPTO/WIPO, forwarding correspondence for transferred matters, researching files, etc. You’ll communicate with attorneys and paralegals regarding pending action items. You will also work with attorneys on managing the docket and ensuring docket due dates are met. You will follow-up as necessary.

Physical Demands, Work Environment, and Other Requirements 
Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met. 


The expected pay range for this position, if hired to work in Palo Alto or San Francisco is $XXX - $XXX per hour. If hired to work in San Diego, Los Angeles, or Seattle the expected pay range is $XXX - $XXX per hour. Non-exempt positions will be paid on an hourly basis and paid overtime in accordance with applicable laws. The compensation offered to a candidate selected for employment will be dependent upon various factors, including the candidate’s geographic market, skills, educational and professional background, experience, and overall qualifications. We offer a comprehensive package of benefits including paid time off, medical/dental/vision insurance, and 401(k).
